User guide

How to use the FASA site · for coaches, directors, umpires, families and the national office.

You do not need to read this front to back. Go to the chapter that matches what you are trying to do. Every signed-in account can create a team, build its roster, and enter that team in a tournament; a role adds abilities on top of that.

Common questions

All FAQs
How do I register my team with FASA?

Create a free account to get started. Coaches set up and manage their own team, add a roster, and register for sanctioned events from the member dashboard.

New to FASA? Choose Coach when you create your account and you can start your team right away.

You can add a player to your roster right away - a parent or guardian does not have to confirm first. Invite them so they can see their player's team and events.

How do I enter my team in a tournament?

Find a sanctioned event on the Events page, open it, and register the division you want to play. Each event page shows the entry fee, format, dates, and location before you commit.

Can I add pickup players?

Yes, when the event allows them. Up to three pickup players are permitted and rosters lock at check-in. A pickup player is added for one tournament and comes off the roster after it ends. No parent sign-off is required for a pickup to play.

How do teams earn points?

Every registered team starts each season with registration points, paid or not. Paying the season's sanction fee online or early can add bonuses. Eligible closed-event finishes add points: Qualifier, Showcase, League and MVP use the base rate; NIT doubles it; Regional Qualifier and State triple it; World Series and National Tournament quadruple it. CAMP awards no season points. Nothing carries over when the next season starts on August 1. The points explainer lists the amounts and payment-date cutoffs.

How do I become a FASA umpire?

Create a free account and choose Umpire when you sign up - a reviewer approves your request, and your state or area umpire-in-chief (UIC) handles sanctioning from there. A sanctioned umpire works FASA events in their area for 365 days from the day their sanction starts.

What does it cost, and how do I pay?

Teams pay an annual sanction fee once per season, plus the entry fee for each event they enter. Entry fees are set per event and shown on the event page.

Contact your tournament director for entry-fee payment instructions and the national office for sanction fees.

Chapter 1Everyone

Welcome

FASA Online is where a season actually runs: teams register, umpires get sanctioned, directors build brackets, and every score and point lands in one place instead of a stack of spreadsheets and paper forms.

This guide is organized by what you came to do. Find the chapter that matches your job and start there · you do not need to read it front to back.

One thing worth knowing up front

Every signed-in account can do the same three things, whatever role you hold: create a team, build its roster, and enter that team in a tournament. Your role adds abilities on top of that baseline · it does not take those three away.

Chapter 2Everyone

Getting started

Creating your account, signing in, and finding your way around the dashboard.

Create your account

  1. Choose Sign in, then Create an account below the sign-in form.
  2. Fill in your full name, phone number, email, and a password of at least 8 characters. The phone number is required · directors use it to reach you about your team or your tournament.
  3. Under I am a…, pick the option that fits. It defaults to Coach.
  4. If you picked a reviewed role, add a short note so the reviewer knows who you are · for example, "State director for TN."
  5. Choose Create account.
  6. Check your email and click the confirmation link. If confirmation is switched on you cannot sign in until you do · the next step will simply refuse.

Sign in and password help

  • Sign in with your email and password from Sign in.
  • Forgot it? Choose Forgot password? and we email you a reset link.
  • Already signed in and just want to change it? Go to Account, then Change password.

Your dashboard

My dashboard is your home base, and its start screen matches what you mainly do. A coach sees "Welcome back, Coach." with a button to enter a tournament, your next entered tournament, and a card for each team. A director sees "Everything ready for first pitch." with your next tournament and what needs your attention. An admin sees the association at a glance with a card for each area.

  • The left sidebar groups your tools under Dashboard, Tournaments, Teams, People, Messages, Reports, Admin and Account. Open a group to see its links. You see only the sections you are allowed to use. User guide stays available from the menu for every account. Public site at the bottom links the public pages: Tournaments, Standings, Tryouts & Pickups, Rules, News, FAQ, User guide, The Circle and About. While you are signed in, this same menu stays with you on the public pages in place of the public top menu; the home page keeps its own top menu.
  • Your tournaments shows the current season's entries for teams you own, plus tournaments you direct or co-direct. The tournament's start date determines its season. Pending and waitlisted entries stay visible. Open a tournament by name, use View schedule when its schedule is public, or expand Season history for past and cancelled tournaments. Refresh checks for changes.
  • Dashboard home keeps the quick-action buttons for tasks your account can use, such as New tournament, New team, Enter a tournament and Score Brackets. Other pages use the menu and their own in-page actions. Score Brackets opens current-season tournaments you can score.
  • The tiles and the Needs your attention list show what needs you right now: tournaments waiting on approval, umpire renewals coming due, players waiting for *you* to approve them onto a roster, open tournaments.
  • Use the menu to open sections and queues. Approvals is under Tournaments, and Find a player is under Teams & players when your account can use it. Register as an umpire is under People & access, or appears as its own menu item when that is your only option there.
  • Public site in the side menu opens the public pages. Your menu stays while you are signed in. Use Log out in the header to end your session and return to the home page.

Review selected records

Use search in a review queue to find the records you need. Choose a sortable column heading to order the complete matching list before it is divided into pages; choose it again to reverse the order. On a phone, scroll the table sideways to reach its other columns. Named task queues keep their stated scope while you search and sort. Where search updates as you type, pause for the list to refresh before selecting. With nothing selected, Select all selects the eligible records in the stated scope. The action then says selected for part of that scope or all when the whole scope is selected. Most queues use the current page; import reviews state their capped selection across pages. Check the selected count and names before applying an action. Recheck the selection after changing the search, order or page. The server still checks your permission and each record before saving.

A batch can partly succeed. Read the named results for confirmed changes, records that need review, unconfirmed saves, and records not attempted. An unconfirmed save may already have completed: review the affected record before you retry. Further work stops after an uncertain save, and requests are not retried automatically. Leaving the queue or closing its review panel stops further groups, but a request already sent may still finish.

Choose your tournament contact preferences

  1. Open Account, then Event contact preferences. These choices control how visitors contact you from tournament pages.
  2. Under Contact display, choose Disable event contact, Contact button only, or Show contact details. With Show contact details, only signed-in users see the contact methods you enable.
  3. Choose Email and/or Text number, then Save contact preferences. Email uses your account email; Text number uses the phone saved in Your details.
Chapter 3No account needed

Browsing FASA

Everything in this chapter is public. Families, players and fans can use all of it without signing in.

Find a tournament

  • The home page search matches a tournament name, a city, or the director's name. To find where a particular team is playing, open the team from Teams rather than searching tournaments for it.
  • Enter a tournament opens the tournament list. See standings opens Points & classification.
  • Tournaments in the site menu is the full public list across seasons. Search for a tournament, city or director, then choose a column heading to order the matching tournaments. Choose the same heading again to reverse the order.

What a tournament page tells you

  • Dates, location, entry fee, and the fee schedule if the price changes by date.
  • The divisions being played, how many teams are entered, and whether registration is still available. Once the sign-up deadline has passed, availability is closed even if the tournament has not started.
  • The tournament director's name and any contact options they enabled. A Contact button sends your message by email, or by text when the director accepts texts, without exposing their address. Signed-in visitors see enabled email or text-number details only when the director chose to display them.
  • The bracket link · Round 1 preview, Live bracket, or Final bracket.
  • Rainout policy, venue and park rules, spectator admission prices, and how the organiser takes payment.
  • Results once the tournament is closed, including the points each team earned.

Watch a bracket

Open a tournament's published schedule or bracket to follow games. If a schedule or bracket has not been published, the tournament says it is not ready; a closed sign-up deadline does not make it public automatically. Every bracket opens in Static, with Interactive available for pan and zoom. Open scoreboard opens the same bracket, where Print and Export PDF use your browser's print dialog. Choose Save as PDF there to save a file.

Points and classification

Standings in the site menu opens Points & classification. Choose Points for season rankings and totals, Classification for earned classes and bracket statistics, or the combined view for both. All three pages are public. Use Search standings to find visible teams, seasons or locations, and choose a column heading to order the results. Each row names its season; search and display order preserve that season's original ranks and totals. The pages show each team's points, bracket record, win percentage, earned class, and whether they have qualified for the World Series. Run differential is used to decide a class but is not shown here. Chapter 8 explains where those numbers come from.

Rules, FAQ and the newsletter

  • Rules covers age divisions, classification, tournament formats, and roster and pickup rules, and links the full FASA Eighth Edition Rule Book. The legacy League Rule Book (US Youth Baseball) is available separately as a baseball reference; FASA softball uses the FASA rulebook.
  • FAQ answers the common questions in four groups: teams and registration, classification and points, umpires, and payments, privacy and text messages.
  • The Circle is the association newsletter. Sign up from the home page or the footer.

Tryouts and pickup players

Tryouts & Pickups is an open board: teams looking for players, and players looking for a team. Use Contact coach on an open post to reach its author. Posts come down automatically after two weeks, so what you see is current.

Chapter 4Coaches

For coaches and team managers

Create a team, build a roster, pay your fees, and get entered in tournaments.

Create your team

  1. Go to Teams, then Create team, or choose New team on your Dashboard.
  2. A new team joins the current season, shown on the form with nothing to choose. Only while next season's registration is open (June 17 through July 31) does the form offer a Season choice, and then only the current season or next season. If you came from a tournament, its start date sets the season for you.
  3. Enter the team name, city, state and age group on one form. Unsaved changes can be restored when you return.
  4. Review the details, then choose Create team and add players to land on the new team's Roster with the Add player form open, or Create team, add players later to land on the team page. The team is created when you submit the form. Every new team starts as Class B. You can create a current-season team throughout the year.

League type is set after the team exists, by an admin or a league director. They choose Travel team (no league), Drafted league (FASA REC) or Non-drafted league (FASA SELECT REC) on the team page; a coach sees it read-only. There is no class box to fill in: the class shown on your team is its earned class, set by the weekly run each Monday, and only an admin can change it. Chapter 8 explains how it is worked out.

Add players to the roster

Open your team and expand Add player. Enter the player's name, date of birth, and a parent or guardian's name, plus at least one contact method for that parent or guardian: an email address, a phone number, or both. Complete the fields in that form, then choose Add player to save. After a successful add, the form clears that player's details and contacts and focuses the name field for the next player. Home city and state stay visible for the next player.

  • A parent or guardian's name is required to add a player, along with at least one contact method: an email address, a phone number, or both. Jersey number, home city and player email are optional.
  • Need a sub for one weekend? Use Add a pickup player: find one on the pickup board, or choose Enter a player manually and pick the tournament she is subbing for.

Use Search roster to find players by name, jersey or status, and choose a column heading to order the roster. Tick the pending players you have reviewed in the roster and choose Approve selected in the bar above it. With no selection, Select all selects the pending players shown; Approve all then approves that selection. This approves their roster entries; it does not record parent consent. Parent approval remains a separate courtesy record.

Open Players awaiting approval on the dashboard to reach Roster approvals, the current-season queue of teams with pending players whose rosters you can manage. Use Search to find a team and choose a column heading to order the queue. Open a team's approval panel to review and select its players. Roster approval results keeps the named outcomes visible when a completed team disappears from this view. Read any unconfirmed or not-attempted result before trying again. View full team directory returns to the ordinary team list.

Parent approval

You can ask a parent to confirm they know their daughter is rostered, using Add parent email & request approval or Resend approval email. This is a courtesy record only. It never blocks a player from playing and it has no deadline.

Roster lock

Rosters lock for the season each summer. While locked you cannot add, approve or remove permanent players, and your earned class is frozen. Pickup players are not affected · you can still add and remove them. If something genuinely has to change, a regional or national director, or an admin, can unlock it.

Pay the team sanction fee

  • Open your team and find the Sanction fee card. Choose Pay by card or Pay by bank account.
  • Paying online adds a processing fee, what the card or bank payment costs FASA: 2.9% + 30¢ by card, or 0.8% (at most $5) by bank account. Each button shows it before you pay. Bank payments take about 4 business days to clear.
  • Paying online is also worth 100 season points · see Chapter 8.
  • The fee and sanction belong to the team's selected season. Season 2027 runs from August 1, 2026 through July 31, 2027, with renewal due August 1, 2027. Paying or being approved early does not shorten that season's coverage.

Play another season

Open the old team and use Renew when the next season is available. Upcoming-season renewal opens June 17, 45 days before August 1. Renewing an older team into the current season stays available throughout the year. If the required season has not been set up, contact the association to have it configured.

Keep the team name to renew into the new season with linked history. Change its name to create a separate team without a history link. Both paths copy permanent roster players as pending for review and leave the new season's sanction fee unpaid. Pick an age group that fits every player's birthday; players who aged out are named before you continue. Pickup players, prior payments, the sanction and parent approval do not carry over. The old team becomes a read-only archive for coaches and directors, while Admins can make corrections. Its roster, results and points remain available in Season history.

Enter a tournament

  1. Use Enter a tournament on Dashboard or your team page for the guided Team, Tournament, Division and Review steps. You can also start from Add my team in the tournaments list.
  2. In the guided flow, choose your team, tournament and division, then check Review. Back and Continue keep your choices. Only the registration button on Review sends the entry; moving between steps does not register or charge you.
  3. Pick your division and a team for the tournament's season, which is determined by its start date. The picker shows teams that fit the division's age group and that season. Use Create a team for this tournament if you need a team for that season.
  4. When the tournament takes online payments, choose Register, pay by card or Register, pay by bank account to pay now, or Register, pay later to save the entry and pay by the tournament. Otherwise, use the displayed Register, pay later or Register button.
  5. If you registered without paying and the tournament takes online payments, Pay by card and Pay by bank account appear on the entry while signups are open. Once your entry is approved they stay until the day the tournament starts, as long as the tournament still takes online payments and online checkout is set up. After that, pay the entry fee to the tournament director. Payment is due by the tournament, or by the director's pay-by date when one is set.

Message your team's families

On the team page, choose Message team to open the composer for families on your live roster · practice moved, gate times, what to bring. Check the available email and text delivery counts and opt-outs before sending. Open Who receives this? to review who is included: parent contacts use the options they choose, and linked guardian accounts and player email addresses retain their communication preferences. Assistant coaches and other team contacts are not included; reach excluded families another way.

Post a tryout or a pickup need

Go to Tryouts & pickups, then Post a need. Pick your team, the type of post, and the age group, then write the details. Only the team owner can post, and posts expire after two weeks.

Other things on the team page

  • Contacts lists the team's coach first, then the additional contacts (Assistant coach, Dugout staff or Team parent, chosen from a list) with their email and phone. The team owner or an admin can use Add contact, Edit and Delete; everyone else sees the list only.
  • Print roster and the CSV export for anything you need on paper or in a spreadsheet.
  • Transfer ownership · hand the team to another account.
  • Delete team · an admin can restore it afterwards from Deleted records; it is never erased outright.
Chapter 5Directors

For tournament directors

Create a tournament, get it approved, score brackets, and close it out.

First, the hosting agreement

Before you can create a tournament you accept the FASA Tournament Hosting Guidelines, once per season. They are the association's ground rules · all teams registered with FASA, all bracket scores online, FASA umpires and UIC, no ghost teams, no hidden team lists, and every tournament closed out by 11:59 PM the Monday after it ends.

Create the tournament

  1. Choose the New tournament button. Follow Tournament, Play & fees, and Review steps. Back and Next retain your entries and selected flyer.
  2. Tournament: name, tournament type, city, state, venue and dates. Sign-up by is required to submit; Pay by is optional.
  3. Play & fees: format, seeding and rules, then age groups and classes. Pick at least one division before submitting for approval. Set entry prices, online or offline payment options, spectator passes and the tournament flyer. Tick Price changes by date to add dated offers, and Price changes by Division to give a division its own prices.
  4. Review: check the tournament details, divisions and prices before submitting for approval. Save draft is available at every step; moving between steps does not save or submit the tournament.

Get it approved and open

The Next steps checklist on the tournament page tracks the four things that have to happen: create the tournament, add at least one division, get it approved, and open it for registration. Anything blocking you is spelled out in place · for example, "Add a division before teams can register."

Edit a tournament and check its readiness

Edit is available to an admin, the current event owner, and directors whose existing jurisdiction covers the event, subject to the event's current status and date rules. Existing creator and co-director access remains in place. Owning an event does not grant every director action. After the sign-up deadline, the public event shows closed registration and emphasizes schedule/bracket readiness; unpublished schedules stay unavailable.

Set up divisions and pricing

  • Add division · age group, class, and a team limit or no limit. Divisions can carry their own prices.
  • Pricing by date · build a fee schedule that steps up by date, for example $75 until October 1, then $100. A price applies until the day you name; on that day the next price starts. Teams see exactly what they will pay.
  • Pricing by division · apply one schedule to every division, or give a division its own. A division with its own prices ignores the tournament-wide ones entirely, so pricing 6U separately leaves every other division exactly where it was. The price after the last date is the same for every division.
  • When to set it · both can be set while creating the tournament, or later from Pricing on the tournament page. Changing prices affects future entries only; a team that has already registered keeps the price it signed up at.
  • Tournament flyer · upload an image or link to one you host. The flyer is the tournament's promotion; there is no video.
  • Rainout / weather policy · what happens to games and refunds. Families read this before they drive.
  • Co-directors · add a director or a coach who helps run it. They can edit details, manage registrations, enter results, manage the schedule and take gate payments. They cannot approve, re-tier, cancel or delete the tournament, or refund an entry. The tournament's director has the same powers and, as its owner, can also cancel it and refund entries. The director is listed first with the Director tag and cannot be removed there.
  • Director · to change the tournament's main director, an admin opens Edit details and uses the Director section. The new director starts helping run the tournament. If the previous director is in the Co-directors list, they stay there until removed.

Manage registrations

  • Registrations lists every entry with its division, status, and payment. Search by team.
  • Add a team enters a team manually. Search for the team by name and choose its tournament division. Directors, co-directors and admins can still add a team after the sign-up date, and after play starts, until the tournament is closed. A division whose bracket is posted, or that was combined into another, takes no new teams.
  • Move to… shifts a team between divisions. This is allowed after the deadline as a correction, but not into or out of a bracket that is already posted · and it clears any finish recorded under the old division.
  • Waitlist, Give them a spot, and Remove manage who is in.
  • Refund… issues a full or partial refund on an online (card or bank) payment.

Open Approvals under Tournaments to reach Tournament approvals. This queue includes current-season and undated submissions. Search the queue, select the tournaments you have reviewed, then choose Approve selected tournaments. Each tournament still needs complete details, a valid location and the usual geographic checks. A geographic conflict needs individual review; bulk approval does not override it. Existing approval notifications still apply.

Score brackets

Open a tournament, choose Score brackets, then the division you are working on. The same Score brackets link is available from your dashboard's tournament cards when you have access.

  • The division bracket opens in Static. Choose Interactive to pan and zoom. In either view, click a game to open its score card, with the score, schedule and Remove controls your account is allowed to use. Close or Escape closes the card; a score you have not saved is not kept. Someone who may not score sees no score boxes. Ordinary scrolling moves the page; use the zoom buttons or Ctrl+scroll to zoom. On a phone, tapping a game you may score opens it on the Score games page. Viewing the bracket never grants a permission.
  • Choose Print / Save as PDF above the bracket. Your browser's print dialog lets you print on paper or save a PDF. The printed copy is read-only, and canceling the dialog keeps any score you were typing.
  • The division page and Score games update themselves every 30 seconds while the tournament runs, and wait while you are typing a score.
  • Pool play · select the age group and class, then add a pool. All approved teams in that division are included automatically; age groups and classes stay separate. A later entry requires explicitly recreating an unplayed pool. Pool games per team starts at 2; change it before scheduling if needed. Choose the two teams for Game 1, then the app schedules the remaining games. The two teams closest to the park are picked for Game 1 when their locations are available; you can change them. If no pair can be picked from the locations, choose it yourself. If the schedule needs one team to play an extra game, choose it in Extra game, where the team with the fewest FASA points is picked for you. Small pools play each other only once, with no rematches. Once a bracket is built, two teams that meet in its first round cannot play a pool game. After saving games, choose Publish pool games in that division to show its matchups and standings on the public tournament page before tournament day. Other divisions stay private until published; pool games become public automatically when the tournament starts. Edit pool schedule opens the same table as the bracket's for Game #, date, time and field across the division's pool games. A Game # can be used once in a division, pool and bracket games together: a save that would repeat one is refused and names the number. Reset pool schedule requires confirmation and only clears games that have not started. If another user changes the schedule, refresh before making your next change. If a save cannot be confirmed, review the current pool before attempting it again.
  • Bracket · choose single elimination, double elimination or double drop-down, then Draw & build. Uncheck any team you are leaving out. Edit bracket schedule opens a table for Game #, date, time and field across several games: review the changed rows, then save them. More than 500 changed games save in batches of up to 500; each batch saves with its audits or not at all, and saving stops at the first refused or unconfirmed batch. The table then shows which games saved, so choose Reload saved schedule before editing again. Schedule game numbers display beside the original bracket references and do not change matchups. Publish full bracket shows every saved round to the public before the tournament starts and locks entries and payments. Unpublish full bracket hides the pre-start board while keeping those locks. After unpublishing, Reopen entries and allow bracket changes explicitly releases the publication lock without deleting games or results; other entry deadlines and payment rules still apply. Once play starts, the full bracket is public automatically. Publication does not permit visitors to edit scores. Rebuild to current rules refreshes a bracket built under older rules.
  • Scores · enter each final score as games finish. You can record a forfeit, edit a score you already entered, or reset a live score. For a rained-out pool game, choose Mark not played…: it stays on the schedule with no score and is left out of standings. Undo not played puts it back to be scored or rescheduled.
  • Standings update as scores land and rank teams on wins: wins, losses, ties and run differential. A tie game counts nothing. Teams level on wins are separated by head-to-head wins (when they all played each other), then fewer runs allowed, then more runs scored.
  • Order of finish · record who placed where. You cannot close the tournament without it, and it is what turns results into season points.
  • Mark division full does not close the division · new entries still arrive, but they land on the waitlist for you to admit, without affecting the other divisions.
  • Combine age groups merges thin divisions, until a bracket is published or a finish is recorded.

Gate day

  1. Open Gate and choose Print check-in sheet · teams, coach, method, amount, and a signature column.
  2. As teams check in, use Record cash received to log what you took.
  3. The national office or an admin then confirms that cash, which is what actually marks the entry paid.

Close it out

Complete the tournament's bracket scores, then choose Close tournament on the tournament's Run page and Confirm close. Closing records finishing places from the completed bracket results; there is no routine order-of-finish selector. A division nobody entered needs no finish. Existing saved or imported finishes are preserved. Rainouts and incomplete tournaments stay open for normal closure: an admin must review and save a complete Admin finish exception, record its reason, then close using the saved exception finishes and a reason. A tournament played off the site is different: once it has started, and while no age group has any game on the site, the tournament director records the order of finish for each age group under Record the order of finish (played off the site) on the Run page of that age group, with a note for the record, and the tournament then closes normally. A game still in progress must be finalized or reopened first. Normal placement for 3-game-guarantee drop-down awaits Bobby's rule; an admin may record a reasoned exception. Closing finalises results and points, and the tournament stops accepting ordinary edits. Per the hosting agreement this is due by 11:59 PM the Monday after the tournament. If a saved finish is wrong after closing, Correct order of finish on the division still works with a recorded reason and updates the season points and any World Series qualification.

Chapter 6Umpires

For umpires and UICs

Register, keep your sanction current, and print your certificate.

Register as an umpire

  1. From your dashboard choose Register as an umpire.
  2. Pick your region.
  3. Pay the sanction fee with Register, pay by card or Register, pay by bank account, or choose Register where no fee applies · a UIC then reviews and sanctions your account.

Your umpire record

  • From the dashboard, choose Your umpire record to open your existing record. If you are not registered yet, choose Register as an umpire. An ordinary umpire account has no Umpires item in the sidebar; that is for UICs and the national office.
  • Once you are sanctioned, open your record and print your certificate.
  • A sanction runs for 365 days from the payment date, except an early renewal paid before the current renewal date extends from that current renewal date. Your renewal date is shown on your record; go by that date rather than by the season.
  • Renew starts the next cycle. Nothing emails you when the date is coming, so watch it yourself · your league and the national office see a due-soon flag about two weeks out and may get in touch, but do not wait for it.

If you are a UIC

  • Sanction an umpire once you have reviewed them, or Complete, fee waived where the fee does not apply.
  • Search the umpire directory and choose a column heading to order the results. Open Umpire renewals due on the dashboard to review the renewal queue before sanctions lapse. Its heading identifies the task; View full umpire directory returns to the full list.
  • For paid umpires awaiting review in your scope, select the reviewed records and choose Approve selected. With no selection, Select all selects the eligible umpires on the page; the action becomes Approve all when all are selected. Confirm the count before approval. This does not collect payments or issue refunds. Renewal remains an individual action on the umpire record because it starts a new cycle with its own consent and payment steps.
  • Suspend or Revoke an umpire when you need to.

The UIC directory

UICs lists every Umpire-in-Chief and their jurisdiction, with a contact form so you can reach one without their personal email being published.

Chapter 7Admins

For the national office and admins

The tools the office uses to keep the association running.

Users, roles and requests

  • Admin grants a role and its scope · a state director holds their role over their state, not the whole country. Every assignment is written to the audit log.
  • Role requests is the queue of people who signed up as an umpire, director or gate worker. Search pending requests and choose a column heading to order them, then select the records you have reviewed. To approve a selection, choose both a role and a scope, then Approve selected or Approve all and confirm. Select all selects the pending requests on the current page. Each request must be compatible with that role and within your authority. Choose Decline selected or Decline all to decline selected pending requests. Confirmed decisions use the usual member notifications; approval grants the chosen tools immediately.
  • Users & Roles lists active accounts. Search for a member and choose a column heading to order the directory. Admins with association-wide account-management access can see the most recent known login and open Deactivated accounts for the separate deactivation register. Open a member to compare the legacy login's recorded local date with the new app login's Central date.
  • In Deactivated accounts, search Name or email to find a recorded deactivation, including older records. Results have 50 accounts per page. Clear the search box to see the full register again. Open the member to review the existing recovery controls. This report lists deactivations recorded by this feature; it is not a list of every account that cannot sign in.
  • Choose Review inactive accounts to find accounts whose most recent known login was more than two years ago. Accounts with Unknown activity are excluded. Use Name or email and Find accounts to search this fixed review group, or choose a column heading to order it. Select up to 25 accounts from the current page, individually or with Select all, review the names, then deactivate. Changing the search, order or page starts a new selection. If a change cannot be confirmed, later accounts are Not attempted; review the named Unconfirmed result before trying again. Batch results remain visible if the list cannot refresh. The site rechecks activity and permissions before each change. You cannot deactivate yourself or bypass role and ownership protections. Deactivation stops sign-in access while keeping teams, rosters, payments, and history.

Teams do not need approval. Paying the season sanction fee sanctions the team automatically. Pay team season fee opens Unpaid team season fees, with the season shown in the heading. Search for the team within that queue. If a paid team did not become sanctioned, an Admin can use Mark sanctioned on the team's page to repair it.

Choose homepage featured flyers

  1. As an Admin, open the tournament's dashboard details and find Homepage feature. Tournament ownership or a director role alone does not grant this control.
  2. The tournament must be approved, current or upcoming, and have a valid flyer. Sample and deleted tournaments cannot be featured. Add or correct the flyer through the tournament's editing controls when you have permission.
  3. Choose Feature on homepage, or Remove from homepage features to remove the selection. The homepage shows the earliest eligible featured tournaments; selecting an ineligible tournament does not force it into the public list.
  4. The feature clears by itself the day after the tournament ends, and when anyone other than an Admin changes the tournament's dates. An Admin has to feature the tournament again after that; an Admin's own date change keeps the feature.

Money the office handles

  • Seasons is where an admin sets the team sanction fee and the umpire sanction fee for each season. A team fee takes effect on August 1 of that season unless you tick the box and name another date; an umpire fee takes effect the day you set it. Anyone who already paid keeps what they paid.
  • Payments marks a batch of team or umpire fees paid at once, for cash and checks collected offline.
  • Confirming gate cash · the second half of the two-step described in Chapter 5 · is an admin and national director job.
  • Refunds on team sanctions and umpire fees are admin-only.

Background checks

Background checks is the register for umpires, coaches, directors and dugout staff. Assistant coaches and paid workers need a current background check. Being a parent alone does not. It tracks who is cleared, when they were checked, and when that expires. A check is valid for 365 days from the date the check was run, and a new season never resets or expires it. The dashboard flags anyone due within 45 days.

In Background checks, search for the records and choose a column heading to order the results, then select the records to update on the current page. Background checks due on the dashboard opens the fixed review queue. Record / update check date applies the same actual check date to the compatible selected records, so group only checks run on that date. Enter the date the checks were actually run. An empty date does not remove clearances in bulk. The toolbar shows how many records will be updated or skipped.

For flagged checks, Clear flagged checks after review and Mark flagged checks not cleared apply only to compatible selected records. Follow the required notice and waiting process before deciding. These controls record the decision without storing the background report. Review each named result after the batch finishes.

Messages

  • Compose an email announcement, choose at least one audience group using the role, state or tournament choices, and preview exactly who will receive it · with the reason each person is included · before you send.
  • Text messages are available only when texting has been activated for the association and the recipient has opted in. When enabled, texts only go out between 8am and 9pm in each recipient's local time. Tournament contact preferences do not opt anyone into SMS. When FASA turns on text relay, a director who has opted in to FASA texts and separately agreed to relayed texts can also be reached by text through the contact button. They reply by email.
  • Templates save the announcements you send every season.
  • History shows every send with per-recipient delivery status.

Reports

Reports covers points and classification, tournaments, teams, payments, sanctions, umpire renewals, active and inactive users, brackets that differ from current rules, and open issues with a suggested fix for each. Most reports show only your geography. Points and classification is the exception · it is the national ranking, the same one the public Points & classification page shows, so it is not narrowed to your area. Every export is logged.

Find and fix report records

  • Admins can use Search data follow-ups in Current data follow-ups to find visible teams, tournaments, players or questions, then choose a column heading to order the matching records. Select individual editable questions or Select all, which selects the matching editable questions across pages up to the stated cap, then choose Confirmed as is, Needs Bobby, or Fixed elsewhere, with an optional shared note. Review selected decisions, or Review all decisions when the entire stated selection scope is selected, shows each name, season and question before Confirm selected decisions saves them. Selection records those decisions only; use each question's own correction controls to change a fee, owner or other data. Read Import decision results before continuing. An unconfirmed or partially applied result requires checking the current record; later questions may be marked Not attempted. Results remain visible when saved questions disappear from the list.
  • In Open issues, use Search records to find visible tournaments, teams, issues or suggested fixes, then choose a column heading to order the matching records. The queue keeps its current-season scope. Results have 25 records per page, with each record's issues kept together. Follow its suggested fix; Review roster opens the roster when available. Print includes the current page and the separate payments-due section. Record search does not change payments due.
  • In Points & classification, use Search classification to find visible teams, seasons or classification details, then choose a column heading to order the results. Each team-season row keeps its original national rank, points and classification snapshot. Earned class is the displayed earned class, which can differ from the entry division. Screen pages, Print full report, and Export CSV use the same search and column order; the full report and CSV include all matching team-season rows. Existing adjustment and waiver controls appear only where you have permission.

Settings and the record

  • Settings controls how scores are entered, gate payment rules, association online payments and Stripe credentials, and the association-wide roster lock.
  • Audit log is the permanent record of who did what.
  • System alerts and Errors surface anything that failed quietly. In System alerts, use Search alerts to find an event and choose When or Event to order the results. Opening the dashboard's System alerts count keeps its last-seven-days scope. The seven-day count remains an overall summary independent of the search.
  • Deleted records restores a deleted team or tournament exactly as it was.
  • Chat issues shows only reported issues, requests for human support, answers the assistant cannot answer confidently, and technical errors. Routine conversations are not saved. Saved issue chats are purged automatically after 30 days; older unclassified chat logs are hidden and expire through the same 30-day purge.
Chapter 8Everyone

How points and classification work

Where a team's season points come from, and what sets its class.

Points you earn just by signing up

BonusPointsHow you earn it
Registration100Every registered team, paid or not
Online payment100The team sanction fee was paid online (card or bank account)
Early registration100Fee paid before October 1
Early registration50Fee paid on or after October 1, before January 1
Early registration0Fee paid on or after January 1

The most a team can earn this way is 300. Because every registered team gets the first 100 whether or not it has paid, a point total no longer tells you who has paid · the Payments report answers that.

Points you earn by playing

Where you finish sets a base number of points:

Finish1st2nd3rd4th5th6th–7thPlayedNo show
Base points1007550403020100

That base is then multiplied by the type of tournament:

Tournament typeMultiplier
Standard Qualifier, Showcase, League, MVP×1
NIT×2
Regional Qualifier, State×3
World Series, National Tournament×4
CAMPNo season points

Double-Points Weekends double the result. There is one roughly every month; a tournament counts if it *ends* inside the window.

Classification

The class shown on your team is its earned class. The association works it out from your season in the weekly run each Monday, and nobody types it in. Only an admin can change it, through an audited override that the weekly run keeps. The division you play in at a tournament is chosen when you enter that tournament; it is not set on the team.

The earned class comes from your bracket record · wins, losses and run differential for the season. Where nobody has stepped in, payment comes first: an unpaid team is Class B whatever its record and whatever league it plays in, so the sanction fee has to be paid before anything else about your earned class is worked out. Once you are paid, a league team is the exception to the record rule: a drafted league is FASA REC, a non-drafted league is FASA SELECT REC, and no result changes that. For everyone else who is paid, a team that has not played bracket games yet is Class B by default, and the next Monday night run after your first tournament closes out reclassifies it on the actual record.

Chapter 9Everyone

Good to know

The handful of rules that surprise people, and where to get help.

  • Teams may play up, never down. A 14U team can enter a 16U division but never a 12U one.
  • A player's age is judged on August 1 at the start of the season, and it is checked automatically when you add her.
  • A parent's approval never blocks anything. It is a record that the family knows, with no deadline attached.
  • Rosters lock for the whole association, not team by team. Pickup players stay available while a lock is on.
  • A payment is confirmed by the payment processor, not by the page you land on. Give it a moment and refresh rather than paying twice.
  • Gate cash is recorded by one person and confirmed by another. Recording it does not mark an entry paid.
  • A tournament is a draft until a director approves it, no matter who created it.
  • Tournament contact details follow each director's preferences. Anonymous visitors never see raw email addresses or phone numbers in app fields or text; enabled contact buttons provide a way to reach the director.

Getting help

  • Ask Dougout · the chat bubble on public pages and Dashboard, or Ask Dougout on the sign-in page (not the full-screen scoreboard).
  • Check the FAQ and the Rules pages.
  • Reach a tournament director from the tournament page, or a UIC from the UICs directory.
  • For anything else, contact the FASA National Office at bobby.hair@playfasa.com.
